Enchanted Theatre Company (ETC)
Classes Terms and Conditions
Effective from 2 July 2026
These Terms and Conditions set out the agreement between Enchanted Theatre Company ("ETC") and the parent or legal guardian of any child attending our classes. By enrolling your child with ETC, you agree to these Terms and Conditions.
1. Classes
1.1 Every child is entitled to one free Saturday taster session before deciding whether to enrol.
1.2 A parent or legal guardian must create a parent account on the ETC website before attending the free taster session, regardless of whether the child continues with ETC afterwards.
1.3 Saturday theatre classes are charged at £12.00 per session and typically run for approximately 37 weeks each academic year, with breaks during school holidays, including half terms, Christmas and the summer holidays. The number of sessions may vary between 36 and 38 weeks, depending on the academic calendar.
1.4 ETC after-school clubs are charged at £5.00 per session and typically run in line with your child's school term dates. Bookings may be made directly with ETC or through the school's booking system, where applicable. Fees for after-school clubs are payable in full, in advance.
2. Fees and Payments
2.1 The annual Saturday club tuition fee is calculated on the basis of 37 weekly classes at £12.00 per class, giving a total annual tuition fee of £444.00.
2.2 To make payments more manageable, the annual tuition fee is collected over 11 equal monthly instalments of £40.36.
2.3 If your child joins after the academic year has begun, you will be required to pay upon booking. A discount code will be provided which will discount any weeks not used before your monthly payment schedule begins.
2.4 Monthly instalments continue until the full annual tuition fee has been paid.
2.5 If you wish to withdraw your child from ETC, a minimum of four weeks' written notice is required for the Saturday club and after school clubs. Any outstanding balance relating to classes attended or reserved during the notice period remains payable.
2.6 Fees reserve your child's place within the class and are therefore non-refundable if your child is absent due to illness, holidays or any other reason.
2.7 ETC reserves the right to amend its fees. Any changes will be communicated to parents in advance and will only apply to future enrolments or payment periods.
3. Annual Renewals
3.1 Existing students will be given priority when booking places for the following academic year.
3.2 Parents wishing their child to continue on the Saturday club should confirm their place with ETC by 15 August each year.
3.3 ETC cannot guarantee a place for returning students if confirmation is received after this date.
4. Late Payments
4.1 Monthly Saturday club payments are due on the 1st day of each month.
4.2 A late payment charge of 10% may be added to any payment received after its due date where no prior arrangement has been agreed with ETC.
5. Sibling Discount
For the purposes of these Terms, a sibling is defined as any child legally in the care of the same parent or guardian. Applicable to the Saturday club only.
5.1 Where two or more siblings attend Saturday classes at the same time, the first child pays the standard fee and each additional sibling will receive a discounted rate of 5% off your monthly payments.
5.2 If one sibling leaves ETC, the remaining sibling(s) will revert to the standard class fee from the next scheduled payment.
5.3 Where any refund or adjustment is applicable following a change in sibling attendance, it will be calculated using the discounted sibling rate for the remaining classes.
6. Registration and Personal Information
6.1 Parents or guardians are responsible for ensuring that all information provided during registration is accurate and kept up to date, including emergency contact details, medical information and any changes of address or telephone number.
6.2 ETC cannot be held responsible for any issues arising from incomplete, inaccurate or outdated information.
6.3 Personal information will be stored securely and used only for the administration of ETC and related business activities.
6.4 ETC processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
6.5 Personal information will never be sold to third parties and will only be shared where required by law or where necessary to safeguard the welfare of a child or others.
6.6 Parents may request access to, correction of or deletion of their personal information, subject to ETC's legal obligations.
7. Refunds and Cancellations
7.1 ETC is unable to refund or credit missed classes for any reason, including illness, holidays or personal commitments.
7.2 If you wish to cancel your child's place during the academic year, you must provide a minimum of four weeks' written notice. Monthly payments will cease once the notice period has ended, subject to any outstanding fees.
7.3 If you cancel an after-school club booked directly with ETC, any remaining fees will be refunded after the notice period has expired. If the booking was made through your child's school, refunds will be subject to the school's terms and conditions. ETC is unable to process or issue refunds for bookings made through the school.
7.4 If you cancel before your child starts classes, ETC requires at least 48 hours' notice before the first scheduled session. If less than 48 hours' notice is given, the fee for the first scheduled class remains payable.
8. Illness and Exceptional Circumstances
8.1 If ETC is unable to deliver classes in person due to circumstances beyond our reasonable control, including government restrictions, severe weather or venue closures, classes may be delivered online or by another suitable alternative.
8.2 Where classes are provided online in place of face-to-face sessions, refunds will not be available.
8.3 If your child is unable to attend due to illness or other personal circumstances, missed sessions cannot be refunded.
8.4 Parents are asked not to send children to class if they are unwell or displaying symptoms of a contagious illness.
9. Behaviour and Safety
9.1 ETC aims to provide a safe, welcoming and inclusive environment for all children.
9.2 Students, parents and carers are expected to behave respectfully towards staff, volunteers and other attendees at all times.
9.3 ETC reserves the right to refuse entry to, or remove, any student whose behaviour is unsafe, disruptive or likely to place themselves or others at risk. No refund will be given in these circumstances.
10. Safeguarding
10.1 Enchanted Theatre Company is fully committed to safeguarding and promoting the welfare of all children and young people attending our classes.
10.2 Hannah King is the Designated Safeguarding Lead (DSL) for ETC and is responsible for overseeing safeguarding and child protection matters.
10.3 Where concerns arise regarding the welfare or safety of a child, ETC will follow its Safeguarding and Child Protection Policy and, where appropriate, share information with relevant statutory agencies in accordance with safeguarding legislation.
10.4 All staff, volunteers and anyone working on behalf of ETC are expected to uphold the highest safeguarding standards and maintain appropriate professional boundaries.
10.5 Parents and carers are encouraged to raise any safeguarding concerns directly with Hannah King.
11. Photography and Videography
11.1 ETC may take photographs and video recordings during classes, rehearsals, performances and events for promotional, educational and marketing purposes.
11.2 Images and recordings may be used on:

the ETC website;

ETC social media platforms;
-
printed promotional materials;
-
posters and leaflets;
-
local newspapers and press releases;
-
displays and presentations promoting ETC.
11.3 Parental or guardian consent for the use of photographs or video recordings of children for promotional purposes is obtained through the sign-up form completed during registration.
11.4 Parents and legal guardians have the right to withdraw or amend their consent at any time by notifying ETC in writing.
11.5 Upon receiving notice, ETC will stop using future photographs and videos featuring the child wherever reasonably practicable.
11.6 ETC cannot remove printed publications or materials already produced, nor guarantee removal of content already shared by third parties before consent was withdrawn.
11.7 ETC will never publish a child's full name alongside their image without obtaining separate explicit consent.
12. Class Cancellations
12.1 If ETC has to cancel a class, parents will be informed as soon as reasonably possible using the contact details held on the registration form.
12.2 Parents are responsible for ensuring that their contact information remains up to date.
12.3 Where ETC cancels a class, parents will be offered one of the following:

a replacement class where possible;

credit to their ETC account; or
-
a refund.

By enrolling with ETC, parents acknowledge that they have had the opportunity to read these policies.
14. Changes to These Terms and Conditions
ETC reserves the right to amend these Terms and Conditions from time to time.
Any significant changes will be communicated to parents in advance and will take effect from the date specified in the updated version.
